This register lists every artificial intelligence tool Council uses, in plain English. We publish it because residents have a right to know how technology is used in decisions that affect them.
Microsoft Copilot for staff

- Documents and emails inside Council's internal Microsoft 365 system. No resident data is sent to Copilot.
- Who sees the output
- Only the Council staff member who asked for it.
- Human review
- Staff always review and edit AI-drafted content before using or sending it.
Road condition camera survey
ID: UC-005Council vehicles carry cameras that detect potholes, cracks, and worn line-marking on roads, so repair crews can prioritise work.
- What it uses
- Camera images of road surfaces. Faces and number plates are not retained.
- Who sees the output
- Council's Roads team, for maintenance planning only.
- Human review
- All defect classifications are reviewed by a maintenance officer before work orders are raised.
Children's library reading recommendations
ID: UC-006Suggests age-appropriate books in the children's library catalogue based on what your child has previously borrowed.
- What it uses
- Your library account's borrowing history (visible only to you).
- Who sees the output
- Only the parent/guardian holding the library account.
- Human review
- Recommendations are suggestions only. Library staff can override or hide any title on request.
Customer complaint triage
ID: UC-010Helps Council prioritise urgent customer complaints by reading the tone of the message.
- What it uses
- The text of complaints you submit, with personal details removed before analysis.
- Who sees the output
- Customer Experience team only. The triage score is internal.
- Human review
- All complaints are reviewed by a human. The AI score is a guide, not a decision.
Waste collection route planning
ID: UC-011Plans the most efficient route for waste collection trucks across Westbrook suburbs, reducing fuel use and emissions.
- What it uses
- Truck GPS data and scheduled pick-up addresses. No information about individual households.
- Who sees the output
- Waste Services team and contracted drivers.
- Human review
- Drivers can override the suggested route based on local conditions.
